This explains what personal data Appointments4Agencies collects through this website and through booking a call, what we do with it, and who else sees it.
Who we are
Appointments4Agencies is a trading name of Acquiri Limited, registered in England and Wales, company number 16133595, registered office 3 Paxton Mews, Durham, England, DH1 5BS. Acquiri Limited is the controller of the data described here. For anything about this policy or the data we hold about you, email femi@appointmentsforagencies.com.
What we collect
- When you book a call: your name, email address, phone number, your agency's name and website, and your answers to the short questions on the booking form.
- When you email or message us: whatever you send us, and our replies.
- When you visit the site: our hosting provider records standard server logs (IP address, browser type, the page requested and the time). We do not use third-party analytics tools. We use the Meta pixel, described under Cookies and the Meta pixel below. Our questionnaire records its own usage data, described next.
- When you use our short questionnaire at /apply: we record which step you reach, your answers, how far you scroll, how long you stay, and the ad you came from (the UTM tags in the link and the Meta click ID). We link these to a random session ID that is kept in your browser for that visit. We store them in our own database, run by our database provider, Supabase.
Why we use it
- To hold the call you booked, send you the confirmation and reminders for it, and prepare for it.
- To follow up after the call about working together, if you asked us to or we have a reasonable business reason to.
- To see where people drop out of the questionnaire and which ads bring them, so we can improve both.
- To keep the site secure and working.
Our lawful basis is our legitimate interest in replying to agencies who ask to speak to us, in understanding how our questionnaire and ads perform, and, once you decide to work with us, taking the steps needed to enter into a contract with you.
Who else receives it
- Calendly runs the booking calendar inside this page. Anything you type into the booking form goes to Calendly. Calendly sets its own cookies and may load third-party scripts, including Meta's, under Calendly's own privacy policy.
- Google Workspace holds our email and calendar, so your booking and any emails we exchange are stored there.
- Zoom hosts the video call. When you join, Zoom processes your name, email address and the call itself under its own privacy policy.
- Vercel hosts this website and processes the server logs described above.
- Supabase is our database provider. The questionnaire data described above is stored there.
- Google Fonts serves the typefaces on this site, so your browser requests them from Google, which sees your IP address.
- Meta receives page views and a record that a call was booked, through the Meta pixel.
Some of these providers are based in the United States. Where your data leaves the UK, it is covered by the UK's adequacy arrangements or by the provider's standard data protection terms.
We do not sell your data and we do not share it with anyone else unless the law requires us to.
Cookies and the Meta pixel
This site sets no cookies of its own. We use a Meta pixel to measure our ads. The booking calendar is separate and is covered under Calendly above. The pixel sets cookies in your browser (named _fbp and _fbc) and sends Meta your page views and a record that you booked a call. It does not receive the answers you give on the booking form, which is run by Calendly.
We use this to measure how our ads perform and to improve who sees them. Meta also uses the data under its own privacy policy. Our lawful basis is our legitimate interest in measuring how our ads perform.
How long we keep it
Booking and email records are kept for up to two years after our last contact, then deleted. If you become a client, records we need for tax and accounting are kept for six years, as UK law requires.
Your rights
Under UK GDPR you can ask for a copy of the data we hold about you, ask us to correct or delete it, or object to how we use it. Email the address above and we will reply within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
